NEW WORLD TRAVEL MANAGEMENT
BOOKING TERMS & CONDITIONS

ACCEPTANCE OF TERMS
When making a booking with New World Travel Management you agree to abide by the following
terms and conditions. You must not make any booking unless you understand and agree with the
following terms and conditions. These terms and conditions apply to all bookings you make with our
consultants as well as online bookings.
New World Travel Management acts as an agent on behalf of third-party suppliers, including
transport providers, accommodation providers, airlines, cruise lines, rail operators and wholesalers.
We recommend you read and understand the terms and conditions of each of the third-party
suppliers we have arranged travel for you through. We can provide you with a copy upon request.
 

PRICING
All prices are quoted in AUD and are inclusive of GST unless otherwise advised. Prices are subject to
change at the discretion of the supplier prior to booking. This is out of the control of New World
Travel Management as the price is only guaranteed once paid for in full. Price changes may occur by
reason of matters outside our control which increase the cost of the product or service. Such factors
include adverse currency fluctuations, fuel surcharges, taxes and airfare increase. Airline taxes are
subject to change and are confirmed at the time your airline ticket is issued. There may also be a
local tax charged at some airports.
 

SERVICE FEES
A full list of your corporate service fees is available from your travel consultant. New World Travel
Management offers a 24/7 service for emergency use and there may be a fee for this service.
PAYMENTS BY CREDIT CARD AND DEBIT CARD
Payments via credit card will attract surcharges. You authorise New World Travel Management to
charge all fees incurred by you in relation to the services provided to the credit card or debit card
designated by you.


TRAVEL DOCUMENTATION
A valid passport with a minimum of 6 months validity from return date is mandatory for all
international travellers. When making an international booking, we will assume that all travellers on
the booking have a valid Australian passport. If this is not the case, you must let us know. When
making an international booking, please provide a copy of your passport.
It is the responsibility of the traveller to ensure that passports, visas, re-entry visas and permits meet
the requirements of immigration and all relevant government authorities. Any fines, penalties, loss
of travel or related expenses will be the sole responsibility of the traveller.
New World Travel Management can provide general information for passport and visa requirements
including transit visa requirements, but it is your responsibility to ensure you comply with all
regulations before travelling.

TRAVEL ADVICE & HEALTH REQUIREMENTS
New World Travel Management recommend that you contact the Department of Foreign Affairs and
Trade or visit their website at  www.smarttraveller.gov.au for general travel advice, health
requirements and safety alert levels relating to the country you wish to visit. You should regularly
check such travel advice while you are traveling because changes may occur without notice. We
recommend that you consult with your local doctor or travel medical service before commencing
your travel for any vaccination requirements. In some cases, failure to present required vaccination
documentation may deny you entry into a country.

 

TRAVEL INSURANCE
We strongly recommend that you take out appropriate travel insurance to cover your travel
arrangements. Travel insurance is also strongly recommended by the Department of Foreign Affairs
and Trade for all overseas travel. If you purchase travel and decline travel insurance, you may be
required to sign a disclaimer.
New World Travel Management can provide a quote on a recommended travel insurance policy. It is
the responsibility of the traveller to ensure all information provided is correct including any pre-
existing medical conditions to ensure correct and adequate coverage.


AMENDMENTS, CANCELLATIONS AND REFUNDS
All amendment, cancellation and refund policies are listed on your itinerary and are based on the
individual airline, hotel or car company. Please refer to your itinerary for full details.
Many third-party suppliers treat name changes and route and/or itinerary alterations as a full
cancellation and these can incur full cancellation charges. Your consultant can provide full details if
required. Refunds due will be provided after the funds are received by us from the third-party
supplier. In the event of third-party supplier cancellation of your booking, New World Travel
Management will not process the refund unless we receive the refund from the third-party supplier.
Refunds can take up to 12 weeks to process. We will not provide you with a refund for the service
fee charged if the booking does not go ahead.


LIABILITY
New World Travel Management acts as an agent for various travel related products. Our obligation
to you is to make travel bookings on your behalf and to arrange relevant contracts between you and
travel service providers. We exercise care in the selection of reputable service providers, but we are
not the provider of travel services and have no control over, or liability for, the services provided by
third parties. All bookings are made on your behalf subject to the terms and conditions, including
conditions of carriage and limitations of liability, imposed by these service providers. We can provide
you with copies of the relevant service provider terms and conditions on request. Your legal rights in
connection with the provision of travel services are against the specific provider and, except to the
extent a problem is caused by fault on our part, are not against us. Bookings are subject to the
supplier’s T&C’s including conditions of carriage and limits on liability. The customer is responsible
for reading these before finalising transaction.

FORCE MAJEURE
New World Travel Management will not be liable for any failure, delay, or event in performing our
obligations under this agreement which is beyond our control. Such causes may include but are not
limited to: acts of God, accidents, riots, war, terrorist act, epidemic, pandemic, quarantine,
outbreaks of infectious disease or any other public health crisis, civil commotion, breakdown of
communication facilities, natural catastrophes, governmental acts or omissions, changes in laws or
regulations, national strikes, fire, explosion, generalized lack of availability of raw materials or
energy or the change in law or administration of any law in Australia or any jurisdiction or territory
relevant to the booking contract.
If force majeure applies, the customer will be bound by the third-party suppliers and New World
Travel Management’s terms and conditions. Any booking and services fees, credit card fees are non-
refundable in the circumstance that a force majeure event occurs
 

COMPLAINT HANDLING PROCEDURE
Handling complaints effectively is crucial for maintaining customer satisfaction and trust in our
company.
As a dedicated travel agency, we strive to uphold and enhance our reputation for delivering high-
quality products and services. We appreciate complaints as they help us improve our offerings and
customer service.
This policy provides clear guidance to our staff on how we receive and handle complaints. We are
dedicated to managing complaints consistently, fairly and impartially.
We are committed to promptly addressing the needs and concerns of our customers and potential

New World Travel Management is proud to hold ATAS Accreditation.  ATAS is an industry
accreditation scheme that sets the benchmark of quality for the travel industry & ATAS is also
responsible for monitoring our compliance with the ATAS Code of Conduct and assisting in the

PRIVACY POLICY
We are committed to protecting your personal information and agree to handle your personal
information in accordance with our Privacy Policy. The information collected on your booking form is
required to ensure accuracy of reservations made on your behalf. We will provide relevant
information to third-party suppliers such as hotels, tour companies, foreign consulates, etc. as
required for your booking your personal information to these persons in connection with facilitation
of your travel booking and/or to enable the performance of administrative and technical services by
them on our behalf. Where we disclose your personal information to any person (including any
overseas recipients), you agree that we will not be required to ensure that person’s compliance with
Australian privacy laws or otherwise be accountable for how they handle your personal information.
All Personally identifiable data is stored and secured in accordance with the Australian Privacy Act
1988 and Relevant APP’s including APP11 .  APP 11.2 is followed for de-identification and removal of
information. 

Industry standard sanitization measures are used on all EOL / decommissioned hardware and where
requested, on selected records/hardware. All data is stored in a secure facility meeting ISO/IEC
27001:2013 standards. The building is AS ISO 15420 compliant. All data is encrypted and secured in
an Australian Datacentre meeting AU Data Sovereignty laws.  Access to data is via Encrypted
network and VPN links. Internal access to data is audited and scoped per business unit and
identifiable to each unique user using industry-standard authentication policies.

 

GOVERNING LAW
If any dispute arises between you and us, the laws of Australia will apply. You irrevocably and
unconditionally submit to the exclusive jurisdiction of the courts of Australia and waive any right that
you may have to object to an action being brought in those courts. Subject to the Australian
Consumer Law, we are not liable for any technical errors, corruption of any data, unauthorised
access to your personal data, inaccuracies in information supplied by you or third parties or failure to
complete bookings when that failure is due to circumstances beyond our control.

 

ACCEPTANCE
Prior to confirming your booking with New World Travel Management, you agree to meet the
following requirements:

  •  You are over the age of 18 and have the capacity and authority to enter into a binding

contract with us and the third-party suppliers of the travel products that you acquire

  • You have read all of New World Travel Management’s terms and conditions and if booking

on behalf of any other travelers, you have conveyed these terms and conditions to them

  • You have read all third-party suppliers’ terms & conditions and agree to be bound by them

  • You must check that all traveler details have been provided correct, true, current and

complete

  • You must check that your passport has 6 months validity remaining upon your intended

return date to Australia

  • You understand that passports, visas and other required identification of documents are

your responsibility

  • You are responsible for checking the accuracy of all documentation provided to you

  • You have considered comprehensive travel insurance and we are not responsible for any

failure by you to acquire adequate insurance cover

  • You must monitor for any relevant changes to the itinerary before and during travel to

ensure no changes have been made which will affect your travel arrangements

  • You acknowledge that your decision to travel is made based on your own understanding of

this information.
